Privacy Notice for:                         


Applicants to and employees of Connect Catering


In accordance with the General Data Protection Regulation (GDPR), Connect Catering Limited has and will continue to audit and review its data processing. Listed below are the areas identified as data processing procedures and these have been identified as either a legal obligation (to adhere to the law) or as a legitimate business need (to enable Connect to operate, communicate and keep you informed):


Personal Data Is Collected For The Following Reasons:


  1. For the purposes of processing your pay and pensions.
  2. For legal obligations, including DBS checks and checks to confirm legality of working in the UK.
  3. To inform you about the progress of the company.
  4. Name badges (for customer service).
  5. General letters (including pension and welcome letters).
  6. Photographs, descriptions and articles (including birthday, exams and new starters) in the Company Newsletter, which is sent both internally and externally (including Connect’s clients).
  7. Staff benefits, such as life cover etc.
  8. Passwords and work email addresses for work.
  9. Training bookings and information.
  10. The accounts department for processing and payment of petty cash.
  11. Client reports including budgets and costs, this may also include photographs and synopsis of site activities etc.
  12. To contact you with regards to your employment.


Our Legal Requirement To Process Personal Data


  1. Employment law requirements (including pensions).
  2. HMRC and other governmental bodies’ legal requests.
  3. Any Health and Safety needs perceived by Connect to have a legal basis (such as driving licences when driving for the company).
  4. Training required by company policies and law (including Health and Safety, Food Safety, Allergens etc.).


Special Categories Of Data Held Are:


  1. Race.
  2. Religious Beliefs.
  3. Health Data.


How Long Is My Information Stored For?


  1. If your application to work for Connect is not successful, your information (including your application form) will be held for 6 months.
  2. If your application to work for Connect is successful your information will be held for the length of your employment and for 7 years thereafter.

When the personal data is destroyed, it is in a secure manner, such as cross shredding.


Who Will My Information Be Shared With?


  1. HMRC.
  2. Banks to enable payment of your wages.
  3. Any other legal or government request, for example DBS, training levy apprenticeship data base.
  4. National statistics requests.
  5. Catering suppliers for delivery/contact information (including laundry, if applicable).
  6. Pension companies as chosen by Connect Catering.
  7. Companies collecting and collating information regarding competitions, external awards (e.g. IIP and ISO certifications) and other business need which will be strictly assessed by the Data Protection Officer.
  8. Auditors, consultants and suppliers of third party software.
  9. Company staff benefit suppliers (including life assurance etc.).
  10. We will not give your information for any other reason than a business need to any third party without your consent.
  11. Third party computer support and website passwords.

Connect Catering Ltd is a catering management company based in Oxfordshire. It is family owned and run with a registered office as shown below. This privacy policy covers the use of data by Connect Catering Ltd. For legal purposes, Connect Catering Ltd is known as the ‘data controller’.

  1. Allergen management, to ensure that we are up to date will dietary requirements.
  2. For the purposes of processing your meal orders (if applicable).
  3. Birthdays, if we make you a cake for your birthday (if applicable).
  4. Payment of Direct Debits (if applicable).
  5. Occasional general letters (where applicable).
  6. Photographs, descriptions and articles in the Company Newsletter, which is sent both internally and externally.
  7. The Accounts Department for processing payments.


What About Card Payments?


All card payments (via chip and pin) are not processed by Connect Catering Ltd. The receipts that are kept by Connect Catering Ltd are stored in a locked receptacle and cross shredded after 3 months. All payment information is processed through the UK banking system.


How Long Is My Information Stored For?


If you complete order forms for meals from Connect:


Your personal data is kept on site for 4 months (unless authorised by Connect Head Office to keep for longer), to ensure all payment and other queries are resolved.

When the personal data is destroyed, it is in a secure manner, such as cross shredding.


Who Will My Information Be Shared With?


  1. Banks to enable collection of Direct Debits.
  2. Auditors, consultants, suppliers and third party software providers.
  3. We will not give your information for any other reason than a business need to a third party without your consent.
